Beyond the Gate: The Importance of a Thorough Access Audit

When we think about access control for mass events, the first thing that comes to mind is the exact moment an attendee presents their ticket and a device scans it. It's the visible instant, the tip of the iceberg. But the reality is that behind that "scan" lies a world of processes, data, and potential vulnerabilities that, if not managed correctly, can lead to significant headaches. We're talking about access auditing, a fundamental piece that is often underestimated.

What does a real access audit involve?

An access audit isn't just a final count of how many people entered. It's a continuous process that begins long before the doors open and ends long after the last attendee leaves. It involves monitoring, recording, and analyzing every movement at access points, looking for patterns, anomalies, and opportunities for improvement.

Imagine an event where entry is free but requires prior registration. Or a festival with multiple sectors and ticket types. How do we ensure that each person is in the right place? How do we prevent fraud? And how do we obtain reliable data for future decisions? This is where the audit takes center stage.

The risk of "ghost tickets" and flow control

One of the biggest challenges in mass events is managing what we call "ghost tickets." These are tickets that, for various reasons (issuance errors, unauthorized re-entries, technology failures), can create a discrepancy between the actual capacity and the registered one. This is not only a security problem, by exceeding the permitted capacity, but also a profitability issue. Every "ghost ticket" that is not properly registered is a potential loss of revenue or, worse, a risk to the safety of thousands of people.

The audit allows us to:

This information is gold. Not only for immediate security but also for post-event analysis. Which access points were most congested? When did the peak entry occur? Were there significant fraud attempts?

Real case: Campus Party and the challenge of exhaustive control

At SOMOS DER, we worked on the production of Campus Party, an event that brought together 20,000 people at Tecnópolis. It was an event with a very particular profile: it lasted several days, with camping zones, workshops, conferences, and a constant flow of entries and exits.

Here, an exhaustive access audit was fundamental for several reasons:

  1. Multiple zones and permissions: Attendees had different types of access (participant, camper, staff, press, etc.), each with specific permissions for different areas and times. It was crucial to ensure that everyone was where they needed to be.
  2. Constant re-entries: Given the duration of the event and the possibility of camping, re-entries were constant. We needed a robust system that allowed attendees to leave and re-enter without problems, but always validating their credentials and preventing fraudulent use.
  3. Real-time capacity analysis: To comply with safety regulations and manage the user experience, we monitored the number of people in each sector in real-time. This allowed us to anticipate potential saturations and redirect flows if necessary.

The audit was not a "checklist" at the end, but an integrated system at every access point and in every interaction with the credential. We used technology that allowed us not only to scan tickets but also to record the entry and exit time, the type of credential, and the sector accessed. This level of detail was key for security, but also for internal logistics, allowing us to optimize resources and personnel at each point.

Beyond the number: insights for the future

At the end of the day, a well-implemented access audit gives us more than a simple count of attendees. It offers us:

It's not about the flashiest technology, but the intelligence with which it's used. An access audit is not a luxury; it's an operational necessity that guarantees the success, security, and profitability of any mass event. At SOMOS DER, with over +150,000 attendees managed across +100 events in 6 countries, we know that details make all the difference.
